Diagnóstico sobre la gestión documental y de archivos en la Universidad Central Marta Abreu de las Villas. Cuba: Caso de estudio

The organization of information is necessary, among other reasons, for providing evidence of facts and for conserving the documents; this is apparent in the concept offered by various authors regarding records management and which is summarized, to some extent, in this article. Due to the nonexistence of a system for records and archives management at the Central University Marta Abreu of the Villas (UCLV), Cuba, a diagnostic was performed with the objective of implementing an efficient system to regulate the processes and to allow a control of the documentation. Diverse techniques were used, including interviews, surveys and observations, while bearing in mind the DIRKS methodology (Designing and Implementing Recordkeeping System). The importance of carrying out a diagnostic is discussed, with references to similar studies. The article concludes by distinguishing between the strengths and weaknesses of records and archives management in this institution, which will serve as a preamble for the execution of the final objective of the investigation. La organización de la información es necesaria entre otras razones, para evidenciar los hechos y conservar los documentos; esto se pone de manifiesto en el concepto dado por algunos autores sobre Gestión Documental, lo que se resume en alguna medida en este artículo. Debido a la inexistencia de un Sistema de Gestión Documental y de Archivos en la Universidad Central Marta Abreu de las Villas (UCLV) Cuba, se realiza un diagnóstico con el objetivo de implementar un sistema que regule los procesos y permita un control de la documentación. Se utilizan diversas técnicas: entrevistas, encuestas y observaciones; teniendo en cuenta la metodología DIRKS Designing and Implementing Recordkeeping System (Dise o e implementación de sistemas de gestión de registros). Se aborda la importancia de realizar el diagnóstico sobre el tema referenciando investigaciones semejantes a este estudio. Se concluye haciendo una distinción entre las fortalezas y debilidades de la gestión documental y de archivos en dicha institución, las que se tendrán en cuenta para dar cumplimiento al objetivo final de la investigación.
